Thanks to budgeting tools such as a monthly budget spreadsheet, planning and monitoring your income and expenses can be done in a breeze. A budget spreadsheet allows you to update your entries easily without affecting the accuracy of figures in your budget. Monthly budget spreadsheets vary in layout, features, and information. However, there are several elements that are commonly used in these spreadsheets. o Income. This category is a list of different income sources such as salary, commissions, bonuses, and business revenue, among others. o Variable expenses. These are your expenses that change a little each month. Examples of variable expenses are clothing, food, recreation, entertainment, utilities (water and power bills), and groceries. The amounts you put into the variable expenses column of your monthly budget spreadsheet are approximations of the actual amounts every month.

The most important thing I always keep in mind when creating a new Excel work book or worksheet is I NEVER assume that I will not want to add in new formulas or data to the spreadsheet because it is more than likely I will. With this is the forefront of your mind I would always spend around 80% of my time planning the spreadsheet and only 20% of my time implementing it. If you have not carried out spreadsheet design in this way before it may seem a little over the top, extreme or way out, or even inefficient, but the return on the investment of this time planning is extreme and way out also. Believe me it is quickly paid back over a very short amount of time. Once you have used this method and spend most of your time planning, the actual planning of the Excel spreadsheet in itself gets easier and more efficient. As we know the best return of investment to is to carry out an action once, and then reap the rewards over and over again by re using this action. In Excel an obvious example would be to create a macro that automates some activity you carry out on a regular basis or to create a template that will be re- used time and time again. This is my aim with this approach to spreadsheet building. To really plan the spreadsheet, and dont be afraid to spend a decent amount of time on it. My advice to you would be try this out on your next spreadsheet even if it seems a bit alien. Let me know how you find this approach to spreadsheet building.

It may seem trivial to even spend time on thinking about your formatting, but if you follow a few simple rules your brilliant spreadsheet will not only look good but do your calculations speedy and efficiently. Lets keep it simple and jump straight into the simple rules of formatting with a few great tips to give you the edge on formatting. 1. Keep it simple. Spreadsheet. Lots of people spend lots of time formatting their spreadsheets that are singing and dancing, having all the bells and whistles you could think of. Yes make it easy to read and follow, but do go to far, this will add bulk and can inhibit the performance of Excel. in particular conditional formatting can slow down Excel, as it continually recalculates.

In an analysis of multiple studies dating back to 2008, Marketwatch reported last year that almost 90% of Microsoft Excel Spreadsheets contain errors. Even when created with the utmost care, the number and complexity of the formulas contained in our spreadsheets create significant opportunities for bad data. With about 1 Billion users of Microsoft Office users in the world, the absolute number of errors that potentially exist range in the hundreds of millions. We have some thoughts on how to prevent errors in Excel spreadsheets. Here are three of them: Most Errors are Caused by Bad Calculations: Check Your Formulas Methods of testing your formulas range from the simple to the absurdly complex. Lets ignore the stuff on the right side of the spectrum, and stick to what we can do right now. Did you know that highlighting a cell that contains a formula and pressing "Ctrl + [" will reveal the cells that feed into the total? Its a simple yet effective way to understand your data sources and identify what you missed, and what might have been double-counted. Simple stuff.

While Excel is a perfect tool so long as your data can be maintained in simple lists, the moment you have to manage more complex data or make frequent changes in the data, you are better off using the Microsoft Access database. Of course, you may still need to exchange data between Excel spreadsheets and Access database to conveniently present some data or till all the data is managed in Access. Excel spreadsheets are great to manage databases that can be maintained in the form of lists. For example, a database of the CDs or DVDs that you have is probably easily maintained in Excel. On the other hand, small and medium enterprises may need to maintain records of customers, sales and product inventory. Not only is the data more complex requiring frequent changes but you may often need to combine data from different sources. Microsoft Access is a wonderful database tool that can be used for small databases as well as fairly large databases. It is easy to build the databases and modify the data in Access. Further, there are powerful features built in Access that help it to protect the data in databases and carry out an Access recovery when the need arises.

For instance you may have the responsibility of designing a report that alludes to figures generated by your company. Using both MS Excel and Word you will be able to combine the best of both products when compiling reports. It is just as straightforward moving MS Excel documents to MS Word files as it is when pasting charts into PowerPoint slides. You have the option to keep the same formatting when pasting your spreadsheets or if you have a special design that you would like your charts to blend with you can use the Match Destination Table Style function. As in PowerPoint you can also add links to Ms Word documents that readers can click on to access your spreadsheets. The ability of MS Excel to work in conjunction with other MS products ensures that information presented via your spreadsheets can be successfully shared between clients and colleagues.
