Multiple Accounts Being Handled Financial software can be considered good if it can handle all the users credit card transactions, accounts, income and expenditures. The softwares reporting side must have the capacity to show the account used and must also intuitively generate the related reports, like complete income expenditure of every account and also, show the category of expenditures for which the payments were made. Reporting Softwares Adaptability Since people live diverse lives, it is essential that the software is customizable for this diversity to be reflected. Rigid software can cause issues in usability and can even be deemed futile if it will not suit the expenditure and lifestyle patterns of the user.

To tally and keep records of any financial data from any institution one has to make use of an application that can easily convert data entered into reports after comparing them with similar records already on file. With the use of Microsoft Excel, one can accomplish this. However, if you want to make use of your time effectively and be able to do other tasks aside from all the paper work, there is an available file comparison software that you can take advantage of to make things easier for you. Such software allows you to compare Excel documents as if you were editing it from the spreadsheet itself. Commenting can also be a possible feature that you can utilize with a comparison software. You can also convert data into reports after making changes or updates to the data entered on your spreadsheet. With this easier option in comparing files you can surely make the most out of your time and be more productive with your paper work.

By using a query or an Office Data Connection you can link the source and retrieve data as required. The data in the Excel sheet will be refreshed when there are changes in the source. Of course, if there are problems such as corruption in the Access database, it might have an effect on the Excel worksheet as well. You might have to reconstruct the worksheet after carrying out an Access recovery. Similarly, you might want to move some Excel data permanently into an Access database in order to take advantage of the many features of Access such as multi-user capabilities, data management abilities and security. You can convert the data from an Excel worksheet to Access by converting an entire Excel range into an Access database. On the other hand, you might want to simply summarize or analyze the data from an Excel worksheet. You can create an Access report that will take the data from the range specified in the Excel spreadsheet.

If your boss depends on Excel spreadsheets as primary sources of management information, here are some tips to consider. You may be receiving some of the spreadsheets your boss gets. You may even be in charge of preparing a few of those spreadsheets that your boss depends on for management information. If both you and he are getting information from spreadsheets submitted by other departments or staff, then he depends on them for that information. But what if you were in charge of consolidating the information from all those spreadsheets? What if you assembled all that information into an Excel dashboard that you send to your boss every day? Why, then your boss would read YOUR work first and foremost. He would rely on your dashboard as THE most important spreadsheet he receives.

Why, well because they are hidden!. They can confuse users who are trying to follow the logic of a spreadsheet, users cant see them but Excel will still use those cells in calculations which can then appear to users to cause erroneous data. They can also cause issues with importing new data into your work book and issues with and VBA code. 3. Avoid Blank Cells, Rows and Columns. You may not always have a value for every single cell in your work book, but leaving cells completely blank has a massive impact on some functions in Excel. For example -AUTOSUM or using filtering with blank cells will affect Excels calculations. If you have blanks, always consider using zeros or an appropriate descriptive value such as NA.

If you share Excel spreadsheets with other people, you may want the option to leave comments to explain why you have done something, or to ask questions of the other users in regard to the data. Rather than picking up the phone, or sending a lengthy email you can put comments onto the spreadsheet. Comments are a lot like sticky notes that can be viewed, or removed. You may know the basics of adding comments, but I have included a few lesser known tricks. These skills can be used in any version of Excel although the 2013 and 2007 version steps may be a little different from the ones I am describing for Excel 2010. The Basics The basic commands for comments can be found using your Right-click menu or the Comments group on the Review ribbon. When you choose New Comment, a box will appear that includes the user name of your computer (you can change this in the General tab of the Excel Options) and a cursor that indicates it is waiting for you to start typing. When you navigate away from the cell the comment box will disappear and be replaced by a red triangle in the top right corner. Any time you hover over a cell with a red triangle, the comment will be displayed.

A volatile function is one that re-calculates every time a work sheet changes. These include NOW(), TODAY(), OFFSET functions. If you use multiple or large amounts of these in a work book it will eventually start to slow it down. 5. Avoid Unnecessary Complex Formulas. One thing I have learned by developing spread sheets solutions for users is they (eventually) want to see all of the workings out of a formula. For example a typical sales formula of =(Price*SalesQuantity)-(Price*SalesQuantity)*Discount+(Price*SalesQuantity)*Tax Users will want to know the Sales Value Totals, the Discounted Totals and the Sales Tax Value displayed is separate columns. This is where we can break down the formula components into smaller formulas in their own columns or what we call helper columns. If you can increase transparency of calculations it will make the logic of the spreadsheet easier for users to follow resulting in less queries.

Change the Comment Font or Background Colour This is easy to do but needs to be done through your operating system not in Excel. For Windows 7: 1. Right-click the desktop and choose Personalize 2. Click Window Color at the bottom of the box that opens 3. Click Advanced Appearance Settings 4. Under Item, click the drop-down arrow and choose ToolTip 5. Make changes to the look of the ToolTip 6. Click OK 7. Click Save changes Any comments that already exist will remain unchanged, but new ones will take on the modified properties. Change the Shape of the Comment The command that allows you to do this is not on a ribbon, so you need to add it to your Quick Access Toolbar. 1. Choose More Commands from the QAT drop-down 2. Change Choose commands from to All Commands 3. Highlight Change Shape and click Add to include it in your QAT 4. OK the dialog box 5. Select the cell with the comment you want to change the shape of 6. Click Edit Comment in the ribbon 7. Hover your mouse along the edge of the comment until the cursor changes to the four way arrow and then click If the Change Shape command you added to the QAT continues to be greyed-out repeat step 7. The comment box must be active for the command to be useable. 8. Click the Change Shape button and choose the shape you want

The most important thing I always keep in mind when creating a new Excel work book or worksheet is I NEVER assume that I will not want to add in new formulas or data to the spreadsheet because it is more than likely I will. With this is the forefront of your mind I would always spend around 80% of my time planning the spreadsheet and only 20% of my time implementing it. If you have not carried out spreadsheet design in this way before it may seem a little over the top, extreme or way out, or even inefficient, but the return on the investment of this time planning is extreme and way out also. Believe me it is quickly paid back over a very short amount of time. Once you have used this method and spend most of your time planning, the actual planning of the Excel spreadsheet in itself gets easier and more efficient. As we know the best return of investment to is to carry out an action once, and then reap the rewards over and over again by re using this action. In Excel an obvious example would be to create a macro that automates some activity you carry out on a regular basis or to create a template that will be re- used time and time again. This is my aim with this approach to spreadsheet building. To really plan the spreadsheet, and dont be afraid to spend a decent amount of time on it. My advice to you would be try this out on your next spreadsheet even if it seems a bit alien. Let me know how you find this approach to spreadsheet building.

For instance you may have the responsibility of designing a report that alludes to figures generated by your company. Using both MS Excel and Word you will be able to combine the best of both products when compiling reports. It is just as straightforward moving MS Excel documents to MS Word files as it is when pasting charts into PowerPoint slides. You have the option to keep the same formatting when pasting your spreadsheets or if you have a special design that you would like your charts to blend with you can use the Match Destination Table Style function. As in PowerPoint you can also add links to Ms Word documents that readers can click on to access your spreadsheets. The ability of MS Excel to work in conjunction with other MS products ensures that information presented via your spreadsheets can be successfully shared between clients and colleagues.
