What isnt so obvious are things like interest on tenant deposits, subsidies, tax refunds, etc. When youre building the spreadsheet you need to estimate when those revenues will arrive, and that relates to the number of tenants, the rental rates you charge, how long the lease term is for each tenant, etc. You also need to assume some late payments, evictions, and vacant units. If you havent invested in the area before this can be a challenge. You can gather data on that by speaking with local real estate agents, lenders, and tax agencies, or subscribe to an industry database that covers the local area. In most locations you also need to consider taxes. Are these charged up-front? As part of the mortgage loan payments? How frequent are they? When do they actually need to be paid? Are there any accounting costs? Can you use any tax credits or breaks? How do you calculate depreciation if that is a tax deduction? Taxes can be quite complex and you need them in your calculations or your investment value estimates will be incorrect.

The most important thing I always keep in mind when creating a new Excel work book or worksheet is I NEVER assume that I will not want to add in new formulas or data to the spreadsheet because it is more than likely I will. With this is the forefront of your mind I would always spend around 80% of my time planning the spreadsheet and only 20% of my time implementing it. If you have not carried out spreadsheet design in this way before it may seem a little over the top, extreme or way out, or even inefficient, but the return on the investment of this time planning is extreme and way out also. Believe me it is quickly paid back over a very short amount of time. Once you have used this method and spend most of your time planning, the actual planning of the Excel spreadsheet in itself gets easier and more efficient. As we know the best return of investment to is to carry out an action once, and then reap the rewards over and over again by re using this action. In Excel an obvious example would be to create a macro that automates some activity you carry out on a regular basis or to create a template that will be re- used time and time again. This is my aim with this approach to spreadsheet building. To really plan the spreadsheet, and dont be afraid to spend a decent amount of time on it. For example you could model your businesses profitability and then run scenarios based on what money you spent, what money came in and when. You could even investigate whether a cash flow crisis was likely with a particular scenario. The key advantage of electronic spreadsheets is their ability to have their data modified quickly and the result be provided almost instantaneously. Calculations undertaken using the manual method could have taken hours, months or even years. Once the data is entered into a spreadsheet it can be used to produce Graphs for documents, reports or even presentations. For example you could enter your data in Microsoft Excel and then create a graph. You could then copy and paste the graph into a Microsoft PowerPoint presentation.

If its used to anywhere near its full potential it can allow you to amaze your friends and colleagues and more importantly allow you to save time and work smarter and faster. Many people spend a long time building spreadsheets with little forward thinking and therefore making it difficult to re-use a spreadsheet or work book or really difficult to even just update the same sheets without having to repeat a lot of the work already put into it. The first important rule that I always follow when creating a spreadsheet is to have the long term vision in mind. I do not mind investing time and energy into something I do once that can be reused over and over again.
